If you are a solo real estate agent closing 5 to 50 deals a year, most of the "best CRM" articles online are lying to you. They push Follow Up Boss, kvCORE, or BoomTown — tools designed for 10-person teams with a dedicated admin and a $2,000/month software budget. You are paying for features you will never use, and worse, you are learning software built around workflows that do not match how you actually work.

This article is the honest version. We compared every CRM a solo agent realistically uses in 2026, priced them against a real solo budget, and ranked them against what actually moves the needle when you are a one-person operation: contact depth, daily follow-up discipline, and ease of use after the new-tool honeymoon wears off.

What "solo agent" actually means here

A solo agent is someone closing their own deals, not running a team. You may have a transaction coordinator or a part-time VA, but the client relationship lives with you. Your database is probably between 100 and 800 contacts — people you actually know, not scraped leads. Referrals and repeat business are 40 to 80 percent of your pipeline. You check your phone more than your desktop.

The downside: the interface feels like 2012. Every serious customization requires digging through four layers of menus. If you are under 40 and come from a Gmail/Notion/Slack world, Wise Agent will feel slow to learn and slower to use. If you came up on TopProducer 8i and like a feature-dense desktop interface, you may love it.

3. Realvolve — $94/month (Pro)

Realvolve is the serious solo-agent option for people who want deep workflow automation. Their signature feature is multi-step workflows tied to contact lifecycle — buyer under contract, seller listed, past client at anniversary. Done well, it runs like a virtual assistant.

The catch: $94/month, and the workflow editor has a real learning curve. You will spend a weekend setting it up before it starts paying off. Worth it if you close 30+ deals a year and have workflows worth automating. Overkill if you close 5 to 15 and could get the same lift from a disciplined morning routine.

4. Top Producer — $60/month (Core)

Top Producer is the grandfather of real estate CRMs. They modernized the interface in 2023 and it now looks respectable. Good IDX integration, solid calendar, built-in drip campaigns.

The catch: Top Producer still charges for features that should be included (add-on pricing for website, add-on pricing for advanced marketing). The $60/month is the starting line — expect $100 to $130 once you actually use it. If you are going to pay $100+/month anyway, Realvolve or Follow Up Boss give you more.

5. Follow Up Boss — $69/month (Solo)

Follow Up Boss is the industry standard for a reason. Fast, clean, well-designed, great mobile app, excellent integrations with lead-gen sources like Zillow Flex and Ylopo. If you buy leads, FUB routes them into an action plan in under 60 seconds.

The catch: FUB is built for lead-gen teams. A solo agent who closes mostly from referrals will use about 30 percent of what they are paying for. $69/month is also the Solo tier — most agents end up on Pro at $497/month the moment they hire a second person, and there is no graceful middle tier. If lead-gen-heavy is not your model, you will be paying for infrastructure that does not serve you.

6. HubSpot Free (with real estate add-ons)

We include HubSpot only because agents keep asking. Yes, HubSpot has a free CRM. No, it is not designed for real estate — you will spend a weekend building custom properties for "closing date" and "commission owed" and "referral source", and another weekend wiring up automation that comes pre-built in any dedicated real estate CRM.

If you are technical and love building your own system, HubSpot free can work. If you want to start working leads the day you sign up, pick a dedicated tool.
